    Postmaster Tools

Use postmaster tools to monitor email delivery.

To truly master email deliverability, you need visibility into how major email providers view your sending domain. Postmaster Tools (like Google Postmaster) provide invaluable insights into your sender reputation, spam rates, and delivery errors.

    1. What are Postmaster Tools?

Postmaster Tools are analytics dashboards provided by major email services (primarily Google/Gmail) that allow high-volume senders to monitor their email performance. They provide data that you cannot get from your standard CRM analytics, such as:

    • Domain & IP Reputation: How trustworthy Gmail considers your sending domain.
    • Spam Rate: The percentage of users who actively marked your emails as spam.
    • Authentication Success: Verification that your SPF, DKIM, and DMARC records are passing checks.
    • Delivery Errors: Reasons why your emails might have been rejected or delayed.

    2. Setting Up Google Postmaster Tools

If you send a significant volume of emails to Gmail addresses, setting up Google Postmaster Tools is highly recommended.

    1. Go to postmaster.google.com and sign in with a Google account.
    2. Click the "+" button to add your sending domain (e.g., scotifysolutions.com).
    3. Google will provide a TXT record. Add this record to your domain's DNS settings to verify ownership.
    4. Once verified, data will begin populating as you send emails to Gmail users.

    Pro-Tip

Keep a close eye on your Spam Rate in Postmaster Tools. Google requires bulk senders to keep their spam rate below 0.3% (and ideally below 0.1%). If your rate exceeds this threshold, your emails are highly likely to be routed directly to the spam folder.
