    Calendars, Schedules & Call Routing

Manage your individual calendar syncing, custom schedules, and inbound call routing behavior.

Now that your general user profile is set up, it's time to dial in your personal availability, syncing preferences, and call behavior. The My Profile sub-tabs control how your day-to-day workflow bridges the gap between your real-world schedule and the automated systems running inside Scotify Solutions.

This guide covers how to manage your individual calendar syncing, custom schedules, and inbound call routing behavior to protect your time and prevent double-bookings.

    1. Calendar Settings

This section establishes a two-way sync between the Scotify platform and your third-party personal calendars (such as Google Calendar, Outlook, or Apple iCloud).

    Calendar Configuration

This is where you tell the CRM which external calendars to look at.

    • Primary Calendar: Select the specific calendar where you want newly booked appointments from the CRM to be automatically written.
    • Conflict Calendars: You can choose multiple secondary calendars for the system to scan. If you have an event on your personal calendar (e.g., a dentist appointment), the system will mark that slot as unavailable on your public booking pages.

    Additional Calendar Settings

This menu allows you to fine-tune how multi-calendar setups overlap. It ensures that even if you handle bookings for multiple services or separate branches of the business, your time slots sync flawlessly without creating messy collisions.

    Private Mode for Synced Events

If you connect a personal or external calendar to manage your availability, you might not want teammates or account admins seeing the specific names or details of your private events.

    • What it does: Toggling Private Mode on means only you can see the exact titles, locations, and notes of your synced third-party events within the platform.
    • How it displays: For everyone else on the team, those blocks will simply display as "Busy", effectively removing your availability while keeping your personal data completely private.

    View Appointments In

Different team members or clients may operate in different time zones. This configuration lets you decide how times are displayed when you are looking at the platform workspace.

    • What it does: You can set this dropdown to User Timezone, Business Timezone, or any specific regional time zone. It instantly translates the display times inside your Calendar View, Appointment List, Contacts, and Conversations panels into your chosen zone.
    • Important Note: Changing this view setting does not alter your actual availability rules, booking links, or workflow automation logic. It is purely a visual convenience for your dashboard.

    2. Schedules (User Availability)

The Schedules card is where you set your baseline weekly working hours. These hours dictate your availability for team-wide configurations, round-robin assignments, and service menus.

    • Standard Weekly Hours: Check the boxes for the days you work (e.g., Monday through Friday) and set your operating windows (e.g., 9:00 AM – 5:00 PM).
    • Date-Specific Overrides (Holidays & Days Off): If you have an upcoming vacation, a holiday, or a random afternoon off, you don't need to change your entire weekly routine. You can add a date-specific exception with no hours assigned. The system will automatically close your booking windows for that specific date and return to normal the following week.

    3. Inbound Call Routing

This feature allows you to control how incoming phone calls to your assigned tracking or team lines route to your personal device.

    • Only Ring During Working Hours: When this option is toggled on, the system cross-references your real-time availability in the Schedules section.
    • What happens outside hours: If a lead or client calls your tracking number after you have "clocked out" for the day, the platform will automatically skip ringing your device. Instead, it routes the caller directly to the main phone number's configured backup option or your custom company voicemail.
    • Why it matters: This prevents late-night business calls from interrupting your personal time, without requiring you to manually toggle forwarding settings on and off every day.

    Quick Reminder

Just like the General Profile settings, ensure you click Save Preferences or Update at the bottom of each configured panel to securely lock in your settings!
